The Project Coordinator partners with project managers and executives, property management and accounting teams, and general contractors to ensure the successful execution of development and construction projects.  

 

Essential Duties and Responsibilities: 

  • Assist in monitoring and managing documentation flow and communications associated with development and construction projects of varying sizes.   
  • Generate requests for bid packages, bid comparison documents, budgets, and schedules. 
  • Develop and distribute meeting minutes and project report(s). 
  • Administer contracts with all vendors. 
  • Prepare monthly budget updates and monthly draw packages. 
  • Manage construction document files and close out documentation. 
  • Generate monthly fee billing for Lincoln. 
  • Participate in internal and external development programs and mentoring to grow into advanced roles. 
  • Contribute through thoughtful and proactive execution of clearly defined duties, methods, and tasks; contribute to team performance through suggestions to improve systems, processes, and procedures. 
  • Perform other duties as assigned. 

 

Qualifications

  • Minimum of 2 years of professional administrative support experience, preferably focused on construction management or real estate  
  • Intermediate skills with Microsoft Office Suite, including Power Point and Project required; Procore Construction Software preferred 
  • Ability to effectively interact/communicate verbally and in writing with teammates and leadership team in a straightforward, professional manner, keeping the appropriate customer(s) informed/updated as needed 
  • Ability to analyze and interpret commercial lease, architect and engineer consulting, and general contractor agreement as well as construction documentation 
  • Ability to work independently and in a team setting, take direction from multiple Project Managers, and carry out tasks with little direction 
  • Ability to effectively collaborate with internal and external Project Managers, architects, engineers, consultants, and general contractors, including the ability to give direction 
  • Knowledge of financial terms and principles; ability to calculate figures such as percentages, discounts, markups, and/or commissions 
  • Strong organizational skills with an inquisitive and entrepreneurial mindset 
  • Proven track record of delivering excellent internal and external customer service 
  • Ability to work after hours, weekends, holidays, and during emergency situations as necessary to meet the needs of the client 
  • Ability to read and write English in order to understand manuals and procedures, and to write reports 

 

Physical Requirements: 

Ability to sit/stand/walk for long periods of time, including walking unfinished construction project sites and on uneven surfaces; manual dexterity to operate a computer keyboard, phone, and other office equipment; eyesight that allows for reading a computer screen, phone screen, reports, etc.; hearing that allows for hearing/understanding spoken words; lifting and carrying up to 20 lbs.; tolerant of loud noises, airborne dust, chemicals, fumes, and inclement weather.
