We are looking for a detail-oriented and people-focused Talent Acquisition and Onboarding Specialist to manage the full employee lifecycle from first contact to operational in role. This role owns sourcing, screening, and hiring top talent, and then ensures every new hire has a smooth, engaging, and structured transition into the company. The ideal candidate is equally comfortable building candidate pipelines and designing onboarding experiences that set new employees up for long-term success.
Key Responsibilities
Talent Acquisition
Partner with hiring managers to understand staffing needs and develop accurate job descriptions, design behavioral interview questions, and hiring plans.
Source candidates through job boards, LinkedIn, employee referrals, social media, and other channels.
Screen resumes and conduct initial phone/video interviews to assess qualifications and culture fit.
Coordinate and schedule interviews between candidates and hiring teams.
Manage the applicant tracking system (ATS), ensuring accurate and timely candidate status updates.
Extend offers, negotiate terms when needed, and manage the offer acceptance process.
Build and maintain talent pipelines for current and future hiring needs.
Manage relationship with temporary staffing firms to support temp/temp to perm staffing needs
Partner with Direct hire firms on critical roles, ensure accurate tracking and communication to leadership
Track recruiting metrics (time-to-fill, source of hire, offer acceptance rate) and report on hiring progress.
Ensure recruiting practices comply with employment laws and company policy.
Onboarding
Design and continuously improve the new hire onboarding program and experience.
Prepare and send offer letters, new hire paperwork, and pre-boarding communications.
Coordinate logistics for new hires' first day/week (equipment, workspace, system access, welcome materials).
Conduct new hire orientation sessions covering company policies, culture, and benefits.
Partner with IT, Payroll, and department managers to ensure all onboarding tasks are completed on time.
Check in with new hires at key milestones (30/60/90 days) to gather feedback and address concerns.
Maintain accurate onboarding and employee records and ensure compliance documentation (I-9, background checks, etc.) is complete. Conduct routine audits to ensure compliance.
Identify onboarding process gaps and recommend improvements to reduce early attrition.
Additional Strategic Duties
· Analyze HR metrics and provide insights to leadership
· Partner on various HR initiatives to support the business
Requirements
Required:
3+ years of experience in recruiting, talent acquisition, HR, or onboarding coordination.
Familiarity with applicant tracking systems (ATS) and HRIS platforms.
Strong interpersonal, organizational, and communication skills.
Ability to manage multiple requisitions and onboarding cases simultaneously.
Working knowledge of employment laws related to hiring and documentation (e.g., EEO, I-9).
Preferred:
Bachelor's degree in Human Resources, Business, or related field, or equivalent experience.
Bilingual in English & Spanish
Experience with tools such as Paylocity
Experience building or improving onboarding programs.
